Fuji Xerox Develops New Software to Assist Internal Control
Bolsters Company Efforts to Comply with Corporate Law and
Japanese Version of Sarbanes-Oxley Act
| TOKYO, June 1, 2006 – Fuji Xerox’s Apeos PEMaster,
new software developed based on the company’s accumulated document know-how,
facilitates effective implementation of internal control by enabling creation of
necessary documents, consolidated management of information as well as visualization
of the process involved. Sales begin on June 7, 2006. |
| In line with the Corporate Law and the Japanese version of the
Sarbanes-Oxley Act, many companies have revitalized efforts to establish and manage
internal controls. The purposes of these efforts include: (1) to boost the effectiveness
and efficiency of business operations; (2) to increase the reliability of financial
reporting; (3) to comply with laws concerning business activities; and (4) to safeguard
corporate assets. Those purposes emphasize the importance of fulfilling social responsibility
by increasing the transparency of corporate activities, actively disclosing information
and being more accountable for actions. |
| To fulfill responsibility to society, it is necessary to make
a record of documents as proof of action, as well as store and manage them appropriately.
Most of these documents exist in paper format, thereby requiring the creation of
a system that can digitize the information and manage it in an effective manner.
For many companies, building such a system on their own is too difficult and too
costly. Apeos PEMaster not only helps the digitization and integrated management
of necessary documents, but also improves understanding of the company’s business
operations. |
| Fuji Xerox established Internal Control Sales, in April 2006,
a specialized unit focused on supporting efforts to bolster internal controls at
companies. This new organization offers total solutions for internal control issues,
from the provision of advice on documentation and the establishment of a relevant
basic policy to the creation of a systems environment and support in the digitization
of information. The newly developed software is positioned as a basic element required
for the systems creation. |

1) Integrated management of fundamental documents
The software allows integrated management of four types of fundamental documents
required for internal control; operation description, operation flowcharts, risk
control matrix and segregation of duties. It simplifies electronic documentation,
saving countless work hours.
2) Sharing of resources as well as financial procedures
The software gives the opportunity to investigate all aspects of the financial procedures,
including actions taken, resources used, knowledge and information. People can effectively
utilize and share this intelligence, which promotes standardization of operations.
3) Progress management
By displaying a list of documentation plans for each process as well as the results,
a Program Management Office (PMO) can easily manage progress.
4) Integrated management of related documents
Together with the fundamental documents, the Apeos PEMaster consolidates management
of other necessary documents such as ledger sheets, rulebooks and transaction trails.
The PMO can quickly refer to these items. |
